 Job Description

The Executive Assistant provides a wide range of administrative support to the President, Business Operations, Strategy and Development, or other executive team members as assigned. The Executive Assistant will also process clerical tasks, organize meetings, and prioritize correspondence to allow the President, Business Operations, Strategy & Development to focus on decision-making responsibilities.

Tasks and Responsibilities:

  • Provide day to day administrative support to the President of Business Operations, Strategy and Development.
  • Serve as a link between the President and the rest of the Arizona Coyotes staff to continually better the organization through planning and helping leaders be more effective in their roles.
  • Act as the point of contact among executives, employees, clients and external partners for the Arizona Coyotes.
  • Maintain professional level of communication with staff throughout the organization, while exercising discretion with confidential information.
  • Track, monitor, and prioritize all communication on a daily basis and provide follow up and reminders.
  • Assist with communication to external contacts, including NHL offices, team owners/management, civic and community leaders, corporate partners, season ticket holders, and guests of Gila River Arena.
  • Coordinate all internal and external meeting arrangements and schedules.
  • Coordinate the meeting schedules for the Center Ice Conference room and the two tower office conference rooms.
  • Coordinate lunch, dinner, or other special arrangements when necessary.
  • Prepare, compile and distribute presentations, information and materials for meetings.
  • Manage information flow in a timely and accurate manner.
  • Assist in mail collection and drop off for front offices at Gila River Arena.
  • Coordinate meetings and calendars for executive team members.
  • Organize and maintain front office area while also welcoming team members and guest into the office.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Administer various financial functions (including expense reports, monthly credit card reconciliation, etc.)
  • Accurately record minutes and take notes during meetings with the President,
  • Business Operations, Strategy and Development or other executive team members as assigned.
  • Other duties as assigned by the President, Business Operations, Strategy & Development.

Qualifications RequiredQualifications Required

  • Polished professional with outgoing attitude, must be a team player.
  • Excellent typing skills, high level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint) and comfort with learning new applications as required.
  • Demonstrate excellent organizational, coordinating and personal interface skills.
  • Proven job diligence, dedication and attention to detail.
  • Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment.
  • Must have strong interpersonal and customer service skills and have sensitivity dealing with confidential information.
  • Familiarity and working knowledge of general office machines (i.e. fax, copier, printers, etc.) required.
  • Demonstrate excellent written and verbal communication skills, including the ability to successfully communicate with the public, other employees and vendors.
  • Ability to effectively handle competing demands with tight deadlines.
  • Problem solving skills and capable of thinking outside of the box to solve issues.

Education and Formal Training:

  • High School diploma or GED required.


  • Experience an administrative role preferred.

Material and Equipment Used:

  • Office equipment: copier, computer/keyboard, telephone, and fax.
