Reporting to the Senior Manager, People & Culture, as a key member of the Volunteer Services Team, the Coordinator, Volunteer Services supports the planning and implementation of the full cycle recruitment, training, orientation, scheduling, role assignment, scheduling, uniform and accreditation distribution of a massive volunteer team who will work tirelessly to bring the nation’s premiere multi-sport sporting event to life.

Key Responsibilities

This role will be responsible for, but not limited to:

  • Liaising with staff and volunteer committees to support the design process and implementation of the volunteer program including: recruitment, screening, selection, assignment, orientation, training, scheduling and recognition of 4000+ volunteers

  • Supporting the development of the volunteer database and registration program in the Games Management System

  • Assisting in building shifts in the Games Management System; Supporting the various functional area representatives in the scheduling of volunteers for Games-time roles

  • Working closely with the Uniform Distribution and Accreditation team, coordinating volunteer uniform and accreditation planning and distribution

  • Managing the volunteer database and tracking metrics for reporting purposes

  • Supporting Volunteer Services Committee members leading up to the Games-time; attending monthly meetings

  • Supporting the development and implementation of volunteer policies and procedures

  • Assisting in monitoring the volunteer email inbox; respond to queries from volunteers and potential volunteers

  • Supporting events as part of community outreach program to recruit volunteers

  • Coordinating with various functional areas to review volunteer plans for Games-time operations

  • Supporting functional areas with special projects and events where volunteer services are required

  • Supporting operations at the Volunteer Centre including coordinating volunteer staffing needs to ensure a smooth operation of the Centre

  • Recruiting, training and supporting Volunteer Centre and UDAC volunteers

  • Assisting with the design and coordination of volunteer screening, orientation and training

  • Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the Niagara 2022 Canada Summer Games

  • Other duties as reasonably required. Due to the nature of our organization, and especially during the time leading up to, and during the actual Games, all staff will be required to act in capacities beyond their formal job description. These will always be reasonable, however, the expectation is that staff will step up in ways that may not normally be expected of them.

Qualifications RequiredQualifications Required

  • Completed or currently completing a diploma or undergraduate degree in Human Resources, Volunteer Management, or another related field

  • Two (2) or more years of experience planning and coordinating volunteer programs

  • Proficiency working with large spreadsheets and/or databases, preferably GEMS.pro or similar volunteer management systems

  • Strong focus on customer service with superior people and interpersonal skills

  • Strong writing and editing skills and an eye for detail

  • Exceptional skills in analyzing, organizing, and communication (oral and written)

  • Demonstrated ability to set priorities and manage multiple projects

  • Strong ability to meet tight deadlines and work well under pressure

  • Desire to work in a fast-paced, team environment where duties and reporting levels are shared

  • Ability to work collaboratively with a focus on attention to detail and communication of expectations

  • Energetic self-starter; takes initiative and can work with minimum direction and supervision

  • Knowledge and experience working in a not-for-profit, events, sports, or multi-sport Games environment is an asset

  • Demonstrated ability to work in a highly dynamic and deeply collaborative environment, moving seamlessly between many simultaneous and concurrent tasks, operations, and requests

  • Flexible and strong team orientation and management style, i.e., a highly developed ‘collaboration gene’

  • A creative, innovative bent, with an innate ability to see the glass as perpetually half-full, always looking for the opportunity behind the challenge
