Job Description
The Executive Assistant, Legal/Community Affairs provides administrative support, office management and departmental assistance for Cubs’ Legal and Community Affairs departments. The department oversees Cubs’ neighborhood, community, and government relations, works to generate positive support for Chicago Cubs and its charitable and community programs, and manages corporate donation and outreach efforts. It also provides support to the team’s legal counsel.
RESPONSIBILITIES
- Provide organizational and administrative support to EVP, community affairs and chief legal officer, and department personnel, including expense tracking and processing, donation tracking, ticket orders, correspondence, travel, filing, scheduling and office administration
- Coordinate, schedule and support community affairs events, meetings, entertainment activities, etc., including scheduling appropriate facilities
- Assist in the implementation of Community Affairs programs, including donated items program, ticket issues and other departmental activities as requested
- Assist in activities on concert and game days, hosting fans, monitoring neighborhood activity, etc
- Represent Cubs at community meetings, neighborhood activities and etc., as requested
- Assist members of the Legal department in administrative responsibilities
- Assist members of the Community Affairs and Legal departments on Cubs- and Cubs Charities- related activity as requested
- Assist in the transactional management of departmental budget and expense management
- Establish strong working relationships with management and Associates throughout the organization
Qualifications Required
- A four-year undergraduate degree from an accredited university or college
- Excellent interpersonal and team building skills among all organizational levels
- Fluency on Microsoft Word, Outlook, Excel, Power Point and Sales Force
- A minimum of 3 years’ experience working with executive management
- Strong communication and writing skills
- Demonstrated ability to work in an organized manner and manage time efficiently and effectively
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Strong organizational and planning ability
- Ability to maintain confidentiality
