ABOUT THE POSITION

This full-time Executive Assistant would provide direct support to the CEO.  This position will interact with all levels of Swimming Canada, the Membership and External Partners.

PRIMARY RESPONSIBILITIES

  • Respond to all correspondence on behalf of the CEO
  • Preparation of letters, documents for stakeholders
  • Manage CEO calendar
  • Organise meetings and gatherings (room and equipment reservations, etc.)
  • Establish each month, for the benefit of the members of the management team, the schedule for the preparation of activities.
  • Coordinate the follow-ups required to meet deadlines.  Gather, process and distribute all documents related to the meetings of the management team.
  • Assist with reservations for all business trips for the CEO.
  • Follow-up on items related to legal matters managed by the CEO.
  • Admin support to the CEO
  • Provide additional support to CEO as required

Qualifications RequiredQualifications Required

  • College diploma or university degree in a relevant field
  • Fluently bilingual written and oral (English and French)
  • Relevant work experience in a related organization such as a national sport organization, provincial sport organization, MSO’s, or not for profit organizations etc.
  • Experience drafting letters and correspondence
  • Leadership and team work experience
  • Accuracy and attention to detail.
  • Strong ability to work with One Drive, SharePoint, MS Office (Word, Excel, PowerPoint, Office 365 etc.) and other programs /platforms
