Title: Coordinator, Mission Services
Reports To: Manager, Athlete Services
Anticipated Start Date: April 29, 2024
Contract End Date: Autumn 2025

Overview of the Position
The Coordinator, Mission Services will be responsible for assisting the Manager, Athlete Services to relay accurate information between the Host Society and the staff supporting each of the 13 Provinces and Territories (P/Ts). The Coordinator will play a pivotal role in communicating questions and concerns from the P/Ts to the rest of the organization and transposing this information into easily managed processes to be implemented before and during the Games.
The Coordinator will also oversee the non-competitor accommodations functional area and will work very closely with Food Service, Village, Transportation and other functional areas of the Host Society.
Key Responsibilities
This role will be responsible for, but not limited to:

Consulting with the staff and volunteer committees of the Host Society to develop and implement comprehensive plans;

Working directly with Chefs de Mission and Mission staff of each province and territory to ensure the needs of all athletes, coaches and managers are met;

Acting as the liaison between the provincial/territorial Mission staff and the Host Society;

Assisting with organizing Chefs De Mission Conferences, daily Chefs meetings during Games, pre-Games visits by team representatives, and conference calls;

Working closely with interdependent areas to ensure the Mission Centre is properly equipped and serviced during Games-time;
-
Supporting the Mission Services Committee and Mission Services Chair throughout pre-Games planning;

Identifying all volunteer positions falling within the Mission Services and Non-Competitor Accommodations functions;
-
Training, orientating and guiding Games-time volunteers, Mission Secretariat and Non-Competitor Accommodations hospitality representatives;

Assisting with delivering an Accommodation Plan (non-competitors) that identifies the services and needs of the following groups:

Major Technical Officials
-
Canada Games Council
-
Canada Games Family
-
Mission Staff
-
Sponsored Medical Personnel
-
Media and Broadcasters
-
Sponsors’ representatives
-
Observer program attendees
-
Guests and spectators;
-

Working with Protocol on VIP and VVIPs accommodations. The Accommodation Plan will include the following non-exclusive activities and tasks:

Provision of accommodation services
-
Coordination or provision of a booking service
-
Methods for room securing / room requirements
-
Liaison with the hotel sector
-
Proposed method for room management/coordination
-
Making arrangements for host hotels
-
Provision of Informational Services Help-line
-
Working closely with Transportation Services for motor pool and shuttle arrangements
-
Liaison with and support of local Tourist Information Areas;
-

Being a fully engaged team member with a goal of positive and healthy relationships in the workplace

Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the St. John’s 2025 Canada Games, and;

Fulfilling all other duties as reasonably required.

Qualifications Required
Education/Experience
-
Undergraduate degree or diploma in Hospitality and Tourism, Business Administration, Event or Sport management, or a related field of study;
-
Minimum three (2) years of related work and/or volunteer experience or a combined equivalent of education and work/volunteer experience.
Qualifications

Creative, results-oriented, able to deliver on deadlines and deliverables

Experience with Google’s G Suite programs (e.g. Gmail, Docs, Slides, Forms and Calendar, etc.)
-
Knowledge and experience working in a not-for-profit, events, or multi-sport Games environment
-
Ability to liaise and interact with multiple partners, locally, provincially and nationally.
Other

Bilingualism (English and French) is an asset.

Based on position requirements, flexibility to work evenings, weekends and holidays
Conditions of Employment

Office hours are 35-40 hours/week
