WHAT WE ARE LOOKING FOR:

Position: Events Coordinator, Sobeys Stadium

Responsibilities:

  • Assist in the planning and execution of events at Sobeys Stadium, including the National Bank Open, York University convocation, exams, Bowl Concert Series, and other scheduled ancillary events.
  • Collaborate with the Events Manager to develop administrative documents and streamline event processes.
  • Coordinate with the stadium team to manage the event calendar, ensuring smooth transitions between tennis matches, concerts, and other activities.
  • Liaise with internal departments (security, catering, IT) to disseminate updated event plans and information, ensuring client satisfaction.
  • Cultivate strong relationships with promoters, vendors, contractors, and suppliers.
  • Supervise event support staff, handling availability, scheduling, and deployment during events.
  • Assist in the execution and management of various event elements including site plans, signage, security, audiovisual, sustainability initiatives, and budget tracking.

Additional Duties Include:

  • Managing building keys, security cameras, and parking passes.
  • Overseeing utility tracking, mail services, office, and kitchen supplies.
  • Supporting sustainability initiatives within the stadium.

WORKING CONDITIONS:

  • Work Term: April 3rd – October 31st, with potential for extension.
  • Schedule: May include evening and weekend shifts.
  • Physical Demands: Long physical days and potential outdoor work.
  • Training: Specific safety training may be required.

Qualifications Required

  • 1 to 3 years of experience in event operations, major sporting events or similar role
  • Post-secondary degree or college diploma in a related field or equivalent experience in the field
  • Strong attention to detail and ability to prioritize
  • Confident and effective communication skills
  • Demonstratives initiative, willingness to listen and has an openness to feedback
  • Team oriented and ability to collaborate across many internal departments
  • Experience in customer service is an asset
  • Must be capable to deliver in a fast-paced environment – results oriented
  • Ability to work with tight schedules during special events
  • Familiarity with Microsoft Office and database programs
  • Proficiency with Microsoft Office Suite (Word, Excel & Outlook)
