Job Description
The Coordinator, Protocol will contribute to the mission of delivering a life-shaping Games experience by completing day-to-day tasks to support the development and delivery of the Games VIP Program. The Coordinator will assist in the event planning and management of all VIP protocol-related aspects for the Games and participate in the Medal Ceremonies Program.
Key Responsibilities
This role will be responsible for, but not limited to:

Delivering an excellent hosting and networking experience to the Games VIP guests;

Coordinating all associated activities related to VIP’s during the Games-time, including:

VIP receptions and hospitality
-
VIP gifting
-
VIP presence at opening and closing ceremony, cultural and other special event tickets and receptions

Promotion and recognition
-
Inclusion in appropriate promotional materials
-

Liaison with the official VIP host hotel(s) and coordinating VIP hotel bookings;

Working closely with the Manager, Special Events, Ceremonies, and Festivals, ensuring a first-class spectator experience for Games VIP guests;

Coordinating the scheduling, booking of venues, transportation and other logistical aspects required for all of the official receptions offered at Games Time;

Coordinating the training, orientation and guiding of venue-team volunteers who will represent Protocol on the relevant venue teams;

Being a fully engaged team member with a goal of positive and healthy relationships in the workplace;

Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the St. John’s 2025 Canada Games, and;
-
Fulfilling all other duties as reasonably required.

Qualifications Required
- Knowledge and experience with VIPs, dignitaries and the associated protocols, etc;
- Experience in an event environment working in protocol or VIP services;
- Strong organizational, administration, planning and presentation skills;
- Knowledge of current hospitality trends and best practices;
- Creative, results-oriented, able to deliver on deadlines and deliverables
- Experience with Google’s G Suite programs (e.g. Gmail, Docs, Slides, Forms and Calendar, etc.)
- Knowledge and experience working in a not-for-profit, events, or multi-sport Games environment
- Ability to liaise and interact with multiple partners, locally, provincially and nationally.
